Position Description:

Background:

The Eastern African Grain Council (EAGC), in a bid to bring order to the regional grain trade, practicing and promoting organized approaches to trade that helps farmers, suppliers, traders and processors transform their businesses and livelihoods is planning to hold an Agribusiness Fair at the Selian Agricultural Research Institute (ARI) in June 2011.
EAGC is therefore seeking an Event and Marketing Coordinator to provide assistance in the, organization and implementation of the Business Fair to be held in Arusha, Tanzania.

Objective:

• The objective of this is for a consultant to serve in the position of Business Fair Coordinator for the upcoming EAGC Agribusiness Fair.

• This person will work with the EAGC Agribusiness Fair Committee, headed by the Chairperson.

• This individual will assist in overseeing all conference logistics and organization.

General Role of the Consultant:

To coordinate with and assist the Committee to organize and manage the business fair that will facilitate interaction of all stakeholders in the Cereal, Dairy & Livestock value chain with the aim to improve relations and increase business.

Communication Objectives:

The fair is to strengthen and increase dialogue amongst all stakeholders in the trade of Cereal, Dairy & Livestock commodities with special emphasis to the Agreed Theme in relation to these sub-sectors.

Agribusiness Fair – Main Items:

• Venue – ARI Selian

• Two stake holders meetings – one in Dar es Salaam and one in Arusha

• Enrolling exhibitors

• Getting on board key sponsors

• In liaison with EAGC, co-ordination of all suppliers, production and exhibitors

• Coordinate together with EAGC using appropriate and approved procedures, the acquisition of necessary supplies, design/ printing, tents, chairs, tables among others,

• Coordinate the programme development and supervision for the three days event and the networking dinner

Key Tasks:

• Co-ordinate venue/logistics in consultation with the Committee,

• Marketing of the business fair. Target being one hundred (100) companies

• To work with the coordinating committee to allocate the space/area for displays/exhibitions stands of private sector companies depending on the category involved in the Cereal, Dairy & Livestock sector

• Manage the distribution of the various badges, lunch vouchers, and information Kit

• Manage registration of guests

• Coordinate the programme for the three days

• Production of invitation cards, banners, other branding material, posters, flyers, directory, programmes. (NOTE: Printing of such materials shall ONLY be done upon sourcing of quotations and approval by the Committee).

• Sourcing of Various licenses required for the event.

• Hire of tents, chairs, tables, toilets facilities

• Catering for the VIP in consultation with the Committee.

• Hire of generator/electrician/technician

• Hire equipment – PA system, dais, lighting, sound

• Entertainment – Band/Music

• Security/Parking attendants

• Registration staff

• Identify and hire other third party organizer for the logistical support of the sub-events, whose costs shall be met by the event organizer.

• Prepare and present fortnightly progress reports to the Committee on Progress,

• Prepare final report of the event and report to the Committee.

• Attend all meetings requested by the Committee during the planning period.

• Post event follow ups

For all Payments for logistics and supplies the Committee will make direct payment for the acquisition of the following services following approved procurement procedures:

Deliverables:

Under the terms, the deliverables include:

• Status reports on event organization and sponsorships– fortnightly from 10th March 2011.

• Successful assistance as per contract in the coordination and completion of the Agribusiness Fair.

• Prepare a final report of the event and present the same to the Committee.
